Bad timing?
Coinsidence?

Whatever it was...it was wierd.

I called my hotel residency today regarding some provisional wedding bookings that they gave me in our meeting a couple of weeks back. I wanted to double check which ones were part of the wedding 'package' (where I come as part of the deal) or via me privately. Surprisingly, everything was cool and done and dusted within 10 minutes (on a different note - The young 'lady' who was giving me severe ear ache has now left...Phew!!).

I thought I would call the customers and introduce myself and arrange meetings with them. I have just got off the phone from a young lady in tears. I felt really bad afterwards. The bad timing / coinsidence comment applies because she said that the wedding was now off because her fiance walked out on her on valentines day and she had literally just called the hotel and cancelled everything!! I was probably walking out the door when she phoned them?

Has anyone else had this before?
I didn't know what to say or do and felt bad for the poor girl.

I once had a wedding cancelled because the couple split up, but never anything like that, Gary.

As you said, it was just a case of bad timing.

Oops, not good. Walking out on Valentines day :(

I've just split with my missus after 5 & 1/2 years, and we were due to be getting married in April.

Not easy when you're often doing Weddings, bridal shows and regular work at the planned reception venue :(

on an occasion like this i would personally deal with compassion and put my business head to one side, i would return her deposit if she had paid one with a nice card with some kind words inside and a bouquet of flowers, it might cost you a little bit of cash, but a gesture like this would create a lot of future goodwill.

Illumination - Good idea. Thing is, this particular function was part of the hotel wedding package so I was booked by the hotel and therefore I didn't take a deposit. If it were done via me privately then I may well have done something like that, the least I would have done is waived the deposit anyway.

The way it works with the hotel is that if it is part of the wedding package then I invoice the hotel as the customer has paid for the package. If the customer isn't having the package but wants the DJ (as in me) then I invoice the customer. If the function is a private function and just happens to be at the hotel too then I also invoice the customer.

Whatever the deal is, I always visit them anyway.

I hate to think how she must feel at this moment in time - poor girl BUT...in reality, I have had nothing to do with this particular one at all.

I didnt have that situation but I did have to cancel a gig at 24 hours notice - from the back of an ambulance whilst my little boy was being brought into Intensive Care. Worst phone call I ever had to make- to tell the Groom that his music couldnt make it. He was very understanding and I got a replacement but never want to be put in that situation again.

That must have been terrible. At least the groom was understanding i know some that wouldn't be.

Last year i had a wedding cancellation (well in advance may i add). they said it was due to financial problems but last week i had a phone call to rebook me for the same couple:D . so fingers crossed this time.

We are in business. With a wedding it either goes ahead or it doesn't go ahead. An advance payment (deposit) is paid exactly for the reason it is intended along with a contract of agreement. If they default they loose out not you. Why do you take the advance payment and issue contract in the first place then. Imagine the case in reverse if you decided not to do the gig.

Not sure I agree with this. You don't know the circumstances. It might have been because she was having an affair with someone else.

Do you also suppose the Hotel will be sending her flowers and a card? No, they will be sending a bill for the cancellation.

Darren,

This is one of those occasions where I completely agree with you...

...so make the most of it!

 :D :D :D

If I lost several hundred pounds due to a booking being cancelled & the fact that I might not get a replacement gig, there is no way I would lose even more by paying out for flowers when I only know one side of the story!

i still think the gesture i mentioned in my first place would in the long term generate more business and goodwill than keeping the original booking fee speculate to accumalate.

I don't agree.

How would you generate more business by doing that?

The old adage of ten people will bad-mouth you after bad customer service, yet only one will tell others if they are impressed... ipso facto good-will is worth its weight in gold. Of course in this instance she may never want to speak of the whole scenario, DJ included, ever again ;)
