View Full Version : Charges for travel

By the sounds of it there are at least a couple of people travelling a fair distance for a gig this weekend.

How do you decide how much to charge for long distance gigs?

I tend to factor in my usual hourly rate that is required for the travel into the quote, as well as sufficient to cover the petrol- but when you consider a 3 hour trip e/w is essentially doubling the time you need for the event.

How do others work it out?

Hourly rate for me.

I can't see the point in charging mileage when you might be stuck in traffic for ages.

maybe i should have been a little clearer with the first post- if you charge an hourly rate do you charge the same hourly rate as for the disco itself???

No. I think that would be fairly hard to justify in my case in the way that I work out charges.

Interesting, but how do you calculate this prior to the day?

I have a distance scale. Anything so far is included anything in this band is +£20 and so on. This allows for a mix of fuel and time involved in the travelling.

Similar to Spin for me, anything over 50 miles I add a bit, then a bit more for anything over 80.

Officially, my set prices cover anything in my home county of Surrey, although in reality I'll go further than that for the same price.

I don't usually do long distance gigs unless it's a favour for someone I know, but I don't have set formulas for how much extra to charge. I just look at the distance, think about the extra time & diesel, and add on what I feel is a sensible amount.

With fuel prices getting so high I must admit to thinking of raising charge of either distance charge or disco price. Costing £60 a week in diesel just for disco's . Really starting to cut in on profit.

I don't spend much more than that on diesel in a MONTH...

...and that's not just for discos, but everything else as well!

First 10 miles are free - thereafter, £1 per mile (charged one way). I'll also add an additional small fee (per additional hour of travel) to cover my time if the drive is more than an hour.

If I did that, I'd make a fortune...

...last Friday, I clocked up 45 miles each way, and didn't charge a penny extra!

There's some good suggestions on here.

My travel charges are simple. I have a number of areas which I cover which are inclusive of travel. These cover about a 40 mile radius. Anything outside this area and an "Out Of Area" supplement is charged which, at present is £25. This may sound a bit steep to some but it covers my time and extra expense in fuel costs. Don't do too many Out Of Area gigs but the ones I have done the clients have been happy to pay. Most Out Of Area clients have seen me work before so they know I'm worth it!

On the contrary, I think it's actually very cheap for the extra time & fuel required when travelling more than 40 miles.

Pretty much how I play it, as I reckon i'm one of "travellers" this weekend I think I should point out that I dont normally take bookings for Weddings in Braintree but it is a favour for an ex work colleague from Belfast so not my normal area.

Pretty much the way I work mine out.

I think I mixed my words up a bit there, rob. What I meant was my area covers 20miles each way from base. So it's not really a radius is it? Maybe it should be a circumference of 40miles (does that sound right? My grandad died this morning and I haven't really got my thinking head on. I'm just on here as a bit of a release.)

I spend that on diesel every 6-7 MONTHS! :D

Van only did 1100 miles between the last two MOTs

You didn't mix up your words, you just put the wrong distance.

If your charges cover gigs up to 20 miles from base, then they cover a radius of 20 miles, and not 40 as you stated in your previous post.

In that case, I think your £25 extra fee for travelling more than 20 miles is probably about right.

I'm very sorry to hear the sad news about your grandad.

Thanks for that, rob. It wasn't a surprise though. He's 83 and hasn't been well for a while. Lot his mind after after xmas and then lost a lot of weight. I saw him last sunday and knew it wouldn't be long.

I think the word I was looking for was diameter. It should have been a 40mile diameter. But then again 20 mile radius does sound better!

I'd stick to the phrase 20 mile radius...definately sounds better!

Thanks for your kind words shaun. Like I said, we knew it was coming.

I was hoping to throw myself in to the discos this weekend but some nugget has just cancelled for tomorrow night. Still, I get to keep the money! Think I might have a good drink if nothing else comes in! It's been ages!

Doing a 7 hour karaoke disco on Sunday so that should take my mind of things for a little while. Aside from that, I've got three kids to keep me demented over the easter break!

I travel extensively ( Ipswich next Saturday  ) and I tend to charge extra for longer distance standard gigs ( excluding Weddings or Westerns) by adding on fuel rather than the hours.

So take a base cost for a local gig on 4 hours --then add around £50 for an hour each way normal running time--add £100 for two hours each way.

I spose approx its 50 p per mile.

I dont reckon on normally travelling more than that unless its a Wedding or a Western where we charge more anyway as they are unique shows.

If its a Wedding or a Western we have a fixed charge for a radius from here up to a max 120 miles --if its closer I dont reduce the charge because theres always a snag--like my next Wedding gig which is one hour away BUT at the last minute they want an early set up--so I have costed for things like that and dont worry.

As fuel costs keep going up you have no alternative --you have to charge.

Absolutely!!

Time is money, and fuel costs money. We should charge accordingly, nothing is free in this world.

I was going to extend that and say this ( but my upload to You tube was playing up!)

If you price ahead a year or two you need to be very careful on forward pricing--I have had many debates on here with people over this and I think I have the right view which is---why give discounts for forward bookings when its likely to cost you money-as evidenced by the increase in fuel charges--assuming you travel a bit--other Motoring costs increasing--PAT tests getting bigger with more equipment etc.

If you only work round the corner --like Rob--fair enough not a problem.

I intend to do the equivalent in the UK of what I do here - no charge for driving within the toll-free dialling/area code from base (which works out to about 12 miles) then use Revenue's own mileage charges for anything more... 40p/mile, by the way.

Im a £1.00 per return mile after first 20 miles which is deemed as fair by most I know this is not including earlyset up costs

anything over an hours drive away from me then i start to charge extra but i dont often take on anything that is over an hours drive away unless it is a job that i know i can pull of at big money.

I wouldn't want the risk of driving home on a long distance 2 hour drive after a 1am finish , a 45 min packdown... just too risky if you have been up and working all day aswell, Would rather drive an hour and know that i will be home safe and imn bed and not fall asleep at the wheel or have to park up at a service station and tank myself up with caffene.
