Christmas Residency

Unusually I have been asked to quote for a Barn/Line Dancing residency for 14nights up to the 23rd December at a Golf Club.

What kind of Terms and Conditions do you guys use as regards the price and cancellations of certain nights.

Its all very well having 14 nights booked at a keen discount rate for volume but not much use if say 4 OR 5 get cancelled later ( which my spies tell me is quite likely)

Also of course this year with the credit crunch and adverse economic conditions its more likely than ever that cancellations will happen.

Be careful of this. From my days working in hotels I know a lot advertise 2/3 weeks of party nights then any quiet ones ask the parties to move to a different night. Result = less nights for you.

Never been in that position as a DJ so sorry can't help with contracts etc

I can only go on what happened to me last year with my hotel residency and that was that they originally booked 14 nights with me. This ended up as just 5 and all I stupidly had in my Terms & Conditions with them was that there was a £100.00 cancellation fee if the night was cancelled. I'm sure they thought I was stupid and maybe I was but I knew what their game was because one date in particular was cancelled weeks in advance because they thought that they wouldn't fill the date and then it eventually got confirmed so I had to re-issue booking forms and do all the admin again. What they were doing in my opinion was just making sure that they didn't have to pay a cancellation charge...I don't blame them in a way but it was too late for me to ammend my T's & C's.

I did ammend them for this year and they have been signed off already and I am happy with them. I have 15 nights booked for this year already and all the booking forms have been issued and signed off. This year they are as follows :

If the booking is cancelled within 8 weeks of the function then there is a £75.00 cancellation charge.
If the booking is cancelled within 4 weeks of the function then 50% of the price is due.
If the booking is cancelled within 2 weeks of the function then the full amount is due.

It's all very well thinking "Great stuff, 15 christmas parties at £*** = a nice payday" but there is the potential for most of them, especially with the economy the way it is at the moment, to be cancelled. Hotels etc won't care about us, that's obvious in my experience, so I want to make sure that I am covered. I should of done it first time round but I'm still learning...it was my mistake. I would rather have something back than nothing at all.

A friend of mine had charges like these a few years back and it covered him. It was hard luck on the venue because they had a fire 2 weeks into the christmas party period and he had another 10 parties to go. They didn't get re-routed somewhere else and he ended up getting paid for work that he didn't end up doing. If that happened this year to me then at least I would get something back.
