Guys! we decided to do a little promoting tonight, mainly calling on the hotels in and around the area. We called in one particular hotel which is a small chain of 4 and managed to see the general manager. The manager said that the hotel had a disco company on contract but was very unhappy with their performance over the last 2 months and is in the process of seeking alternatives when the current contract ends in March. We had a 'good old' chat about our services etc and was very interested in what we was offering including the fees, however, he said that he wanted us to return next week with a 'plan', I assume this is a business plan??, have any of you guys come across this at some point and if so what does this plan entail?? there were none of this back in 1990!!!..

The closest ive ever came to a plan for a residency is basically a "you scratch my back and ill scratch yours". Along the lines of between 1-5 bookings per year is £(insert price), 6-10 bookings per year £(insert silightly discounted price) etc etc. Thats about it really. Not sure what they are after, it may be worth just asking them what they want out of the "plan" so you can tailor it to them specioffically. Makes you look like you care about the client and gives you an idea of what they are wanting from you.

He may mean come back with your costs for weddings booked by the hotel throughout the year, fees for december residency etc etc.

What fee you would charge for clients referred to you by the hotel.

Do you offer them a commission on bookings referred to you?

Do you have any ideas what they can do over December? (themes, etc etc)

This may be the info they need from you...

I'd have asked what he meant at the time he requested me to come back next week with a plan.

To be quite honest, I'm a bit stumped as to what he meant.

Perhaps he meant a business plan to include costings and commission, contracts and cancellation, backup plan, to include equipment and DJ backup, H&S policy, to include risk assesment and method statement.

I've got a feeling you could be right on this one, will have to look into this further.

I think darren is spot on. What I really reccomend doing is to collate the mentioned documents and present them in a thermal bound folder, as opposed to a load of loose papers. I do this and present at a lot of venues. It looks very professional and organised. Also include copies of PAT and PLI. I only started doing this a couple of months ago but has gone a long way to help me gain work and gain higher paying work.

If you do everything that Darren has suggested then it will prove you know what you are doing etc etc..

I may have another hotel residency on the cards myself, not a replacement for the one I already have but an addition. The good thing is that this place actually contacted me. I haven't been to see them yet but when I do, I will be doing everything that Darren suggested.

So what are you expecting to see (in this plan)

Its pointless flaffing around--just ask em what they want and give it to them ---then you have a happy customer.

Bit like a playlist.

Maybe its a bit late but you could still make a phone call:)

You may wish to concentrate on unhappy with their performance over the last 2 months which appears to be the key point.

Too right. Before you start going on about what you can provide etc, ask them WHY they are unhappy with the current supplier. You can then use that in your conversation to your advantage and tell them why you can provide a better service.

Very good point - for all you know the hotel might be unhappy because the previous dj increased his fee to £100 :eek: :eek: Sounds silly but there are a lot of venues out there more interested in penny pinching than a good performance. As said though it could be something trivial which you can offer.

You're spot on Darren, been back this afternoon, the manager has confirmed that he requires all costings to the hotel as there are 5 function rooms to fulfill so he required the fee structure, also he requires back up plan should anything happen, all the health and safety and risk assesment procedures, plus copies of all relevant documentation, PLI (no minimum than £5million), PAT and also he wants to be included in the contract a clause which states that we should not use any other third party company to stand in for any gigs, he purely wants staff from our company.....a little demanding!!

That is a bit demanding! Do you have enough DJs to be able to meet that clause? If not maybe get a trusted company involved that you pass work to (if you do) and get them to supply exactly the same plan, or ask if the other company will work under your name?

Think December, think five function rooms, think possible bookings outside the hotel, and think back ups for at least two of the hotel functions. That last bit isn't so much demanding as showing that he respects your methods and now trusts you. If you need another company to be allowed to act as back-up/stand-in then advise him, tell him that you'll be happy to bring the principle from that company in to meet him, too, and tell him that it would only be in cases of extreme need any way. Alternatively find out if he's prepared to guarantee a minimum for Fridays/Saturdays in December and don't take anyone else's bookings... but make yourself available for back up for other people in December, just in case.

From experience with hotels in December don't get caught out

Some have the idea that they can block book gigs and at the last minute when they can't fill the room or aint sold any tickets for that evening then they cancel leaving you in the you know what. they they will ot want to pay

Also with hotels find out twhen you will be paid for the events you under take i would be temepted t have it written into any contract you have with the hotel as some hotels take forever to pay some operte on 90 days and more.

Well guys, cheers for all the advice, I have an appointment to see the manager again next Tuesday with a completed plan so lets see what happens...
