Access via stairs

This question is for those of you that add a surcharge for venues with stairs and/or difficult access.

Do you have a specific clause in your terms and conditions that outlines any surcharges in the event of the client not informing you of stairs etc? If you do, would you be willing to share the wording of the clause with me (via PM if you prefer)?



One of the questions I always ask is if there are stairs to negotiate during load in. It's asked on my website enquiry form, and I double check again with the client during the booking process.

Over the last while I've had a spate of clients stating that there's no stairs during load in, and I've [not] charged them accordingly. Then I've contacted or visited the venue pre-event only to discover that there's extremely tricky access that involves several flights of steps.

So....I'm looking to add a clause in my terms and conditions that outlines a surcharge payable before start of event should the client not fully inform me of stairs/difficult access at the time of booking.

Does anyone already have such a clause in their T&Cs?

My terms & conditions include this:

5) We require access to the function room one hour prior to the start time to set up our equipment. If there are access problems which were not previously advised to us by the client, we may apply a surcharge of up to £50, to be paid in cash before we remove any equipment from our vehicles.

I've never had to apply the surcharge yet, but I'm lucky in that I already know most venues & what the load in is like.

Fortunately I only have one or two gigs each year which involve having to walk up a flight of stairs...although I don't charge extra for this, although I probably would if it involved walking up SEVERAL flights of stairs.

I always charge extra for tricky access. The problem I've had a few times recently is when the clients have stated there are no stairs and I've quoted a price and confirmed the booking, only to find out later on that I was misinformed, or misled, hence the reason for a surcharge in these types of situations.

If I know the venue and I know it has steps I will miss certain bits of equipment that aren't exactly needed such as flame effects but other than that I just get on with the job regardless if there is steps, the fire exit is more than 200 Yds away.

Personally I feel that the onus should be on the DJ to determine access limitations prior to finalising the quote.

I'm lucky I guess in that I have a limited coverage area and know most venues already, but in the early days I would either arrange a visit to look round the venue or if this was a PITA I'd get on the phone and ask questions.

I still occasionally get a new venue, and if the customer can't give me some basic access information, then I just tell them that the quote is provisional pending a site survey.

There are a couple of venues locally where my surcharge is £150 - yes, access is THAT tricky :eek:

That's the thing though. The client has given me the basic information, and assured me there is no access difficulties. I've taken them at face value only to find I've been misled.

On the flipside, I've called ahead to a venue before and been informed there are stairs but I'd have access to a lift - only to arrive and be told the lift can't be used.

Even with the most stringent of checks....things can go pear-shaped.
