When to hold client meetings

How long do you normally wait until holding a final client meeting ??

Normally I like to wait about 2 weeks before, no sooner, then details are still fresh in my mind and I don't get 'mixed up' between who is who and who wants what.

Lately though clients have been asking for meetings 4-6 weeks prior to their event. No problem with this at all, but find leaving it later a lot easier.

About the same , When ever the event is booked , I will meet them about two weeks before to get song lists and timings , at the venue if possible.

I usually meet with my customers around 3 weeks before the function. I have had a meeting this week though for a couple getting married next April.

Couple of weeks before usually for me too as so much can change if you do them way too early.

I try to leave it until they've had their hen and stag weekends, so I'm with you in the two weeks'ish.

Well normally I like to meet them before they book.

It's a good opportunity to 'sell my self' - I will run through their requirements then, jot down some notes - boom!

More and more people are happy to do it over the phone now. :)

Sorry, I wouldn't encourage another meet. It's a waste of time. One is plenty IMO.

I normally schedule the B&G to be for a final 'pre-wedding consultation' approx 4 weeks before the Wedding. I'm pretty flexible with it, so you can give or take a week.

If I meet a client before booking I make sure I meet them nearer the date too sort
out details and remeber them as they will have forgotten you and vice verser.

2 weeks before roughly.

I personally think it is paramount that you have a good working and personal relationship with a couple for the day.
Makes things run much better and they are willing to work more too your plans and not think they know better. :)

Thats assuming its a wedding. I would not be so fussy for a normal party etc.
For bigger events then thats a different story especially when there are technical/logistical specifications too take into account.

I usually meet or speak to a B&G between 2 and 4 weeks before. Muh earlier and things often get changed anyway, so you end up having to make alterations. Much later and it doesn't give much chance if something a little different is needed

I have only ever had 1 couple want to meet me before they booked me and I refused it. I am not auditioning as such. 99.9999% of my customers book me on the information that I give them when they enquire about my services and that seems like it's enough. When they enquire I tell them about the meetings and they like the idea. I also state that I will meet with them around 3 weeks before their function to go over their expectations for the evening and also any specific requests, timings, announcements and don't's etc etc...

If someone books me tomorrow for a function in January, they'll pay the booking fee etc and see me 3 weeks before.
