Right here we go then guys and girls.... What about this one?
If you had to quote for providing mobile disco services (so DJ, PA System and Lighting) for a complete month for roughly 1000 people per night, with them providing food and accomodation over the month for you what price would you quote and why?

16 dates over the month inc all fridays / saturdays in the month and then the rest dotted over the other 5 days of the week but in no perticular pattern .
oh and times would be - 7pm in the evening untill midnight

I would work out how much i would do 1 night for then times it by the amount of nights they want me for then deduct 10 - 20% for a final total. Also might be worth asking if they have a lockuop cuboard you can store in on premesis as this will mean less work for you long term.

So, as this is for 1000 people, has everyone got big enough kit to do this and if not, are you basing your fees on hiring in the PA and lighting for each gig?
1000 people has got to be a between 5-10K gig surely? (depending on the size of the venue etc?

I agree that it depends on the size of the room, but bear in mind it includes accomodation/meals so you would have no overheads. I would however want more if it was over xmas/new year period.

Don't think size of room comes into it too much... Well i suppose it does in a way - the question that i asked rather than the size of the room (although got that info as well - and is a marquee where the guests will eat before the parties) was the size of the dancefloor area - as that is the key area needing the sound.....
If the whole room (for 1000 people) was the dancefloor then maybe you'd need a bigger PA system (prob 7k - 10k as a rough guess) But personally i feel 5k is the max need for just the dancefloor area - maybe even less - especially if you have the chance to fly a couple of the speakers above the dancefloor or at the back of the dancefloor etc... Anything above that would then get too loud the closer you are to the system (usually where the dancefloor would be).
Think if you combine positioning with the power you could use allot less of a powerful system and have the same result of percieved loudness without it hurting or being too loud right next to the main dj area.
As for the pricing i quoted more than all the prices so far as i took lots of things so far not mentioned by anyone into consideration....
There is no chance of taking any other booking through the month - even though its 18 dates out of a possible 31 (december) as the kit will remain installed (24hour security based on site) ..
I loose the week before december (inc the weekend) in rigging for the event as installing a 6m by 2m DJ Booth and staging for the function.
I'll be remaining on site for the whole duration of the month too (even on none gig dates) although they are providing accomedation and food but it still means i can't take on any other work and still have to pay for accomedation and bills where i'm currently living...
Plus a few other bits and bobs...

Think you,ll find a mortgage, bills would class as an overhead. They still need paying even if away for the month.,

I stic to my price regardless £6400 this is inclusive of VAT and your B & B living make sure its all signed and dotted before you walk in for the dates. You have to live as a normal person so ensure payment after every week or Event day

Averaging around £200 a show, times that by 16 would equal £3200. Now with your travel expenses, accomodation and other essentials, i would probably push that up to around £4000 :)

These are big corporate gigs in london for crying out loud and you'd charge £200 per gig?? How much do you think each of the 1000 people is paying??
I'd probably go for around £350 per gig, plus the extra expenses of PA hire etc. added on top.

I was quoting this figure incase Jamessh was, not me. I would feel that one run off gigs like this could push anyone over the limit of 30,000 if it came in. also most premises would want a reciept for VAT purposes

The VAT threshold is much higher then that - around £60K I believe and if you're not VAT registered then the venue wouldn't be charged VAT and therefore wouldn't expect or get a VAT receipt.

OK, lets look at the facts:-
1. Do you provide the same rig that you normally use ? if not, what is the cost of hiring/transporting the additional sound & light.
2. What would you normally charge for a 7pm-12 midnight function ?
3. What are your travelling expenses from home to venue (and return) multiplied by the number of journeys ?
4. What would you expect to pay in food if you were at home ? Your mortage/rent will still have to be paid even if you are not at home, but would you have that as a consideration for normal December jobs ?
5. What is the revenue for functions that you would not be able to work at due to the residency ?
6. Consider some additional monies for spending (that you may not have had at home).
7. Consider a deduction as you are working in one location (with no travelling, etc) but are there ant parking charges including the congestion zone ?
I know it's a bit long-winded but its worht taking everything into consideration. There is also the fact that you won't be seeing your family every day (might have additional travel issues there.

If an event is for 1,000 guests, you need a lot more than a couple of powered subs and tops on sticks, and a serious lighting rig, and most professional conference organisers/hotels will expect to pay a sensible price in return for excellence.
Would you organise your Christmas party at a hotel providing champagne on arrival, 4 course dinner, live band and disco for £10.00 per head. NO, you wouldn't trust it! Get my drift?

Just to point out, this isn't the case here since James worked for this company last year and they know what he's like etc. Infact, i imagine this year they'd actually be getting a bigger light and sound rig.

Totally agree with this - Think anyone quoting £200 - £300 hasn't looked into everything properly.... Maybe as a DJ only fee with someone else providing all the equipment then fine but with all the PA/Lighting/staging you just couldn't do it for that cost and still make a reasonable profit for the amount of work involved... Not unless you use cheap rusty scaffolding bars to create the booth, and cheap sound 2 light lighting effects and a wall of cheap speakers and amps! Then maybe you can but that's one of the reasons the company that had the contract last year doesn't have it again this year as the main company paid for a professional services and got a cheap bodge job instead!

That's a more accurate figure in reality.... Did some phoning around last week to see what prices i could hire in the staging/booth for.... and for the month hire the cheapest i could find (for scaffold based structure) was £1500 and the most expensive was for a complete Tri-lite booth structure at £3500
Likewise with the PA - To hire a 5k system for the month quotes ranges from £1300 - £2800+ depending on what brand and configuration you go for....
So without Lighting or DJ services that already puts the initial costs at roughly £2800 (cheapest outlay) or £6300 (expensive outlay) or if you cut a few corners on branding and quality and hit the middle prices your still looking at costs of around £4500 before lighting or DJ Services............... Doesn't leave allot does it if your only quoting £6200..... And if you've only quoted £3200 you've already made a loss of £1300 - without lighting or your DJ time...
Oh and thanks for filling in the missing blanks dan :) don't mind at all.... Here's the rest of the background info...
Last year i was employed by another events company (who had the contract for the lighting and sound for the disco with the main company) as freelance to DJ and supply a little kit here and there to boost what they were installing themselves....
To cut a long story short i had no support once on site from the events company that i was freelancing for - they had pretty much installed cheap rubbish (and mostly sound2light and cheap PA) that went wrong - and i got them out of stickly situations on more than one occasion.... As well as getting great feedback from guests for the DJing side of things in the evening... This got reported back to the company that were actually running the whole event (rather than just the sound and lighting for the disco) who then asked for my details.
Had a call a couple of weeks back asking if i was able to quote for this year i agreed and they sent over as much info as they had...
The short version of the info was to provide a full Disco package (lighting/sound/DJ/Host) to suit 1000 people along with providing a 6m by 2m booth staging platform for the DJ/Host... This will be a complete install from 25th November untill 23rd/24th December - food and accomedation provided (although very basic)....
I've now quoted (did before posting on here as just wanted to find out others opinions on it) and awaiting result.... Who knows what will happen - if i get it great... if not im sure there will be plenty of other gigs out there during december!

I was Quoting £400 not 340 and I can cover everything from a large sports hall to a small function room 1000 people will not necessary all be in the same room most venues may not want a roadshow set up with trilite all over the joint just wanting something small and friendly in a corner of a room ie resturant area / or on a small raised stage which can be packed up after every night so that the venue may run as usual. Not everyone tinks gianormous in the hotel industry small can be beautiful as well. I should know Im glad to have the smallest roadshow in anglia LOL

if i was taking my full rig (seen in another post on here) the i would charge 450.00 per night plus milage.

What i think this does is highlight the huge regional variances in how much we are able to charge for jobs in our respective areas. having rung every company large and small in our local phone book back in may, i can tell you that theres nobody in the hull area charging more than £350. i even hyad one guy quote me £60 ! I suppose it boils down to local demand. Dont know what its like where you guys are but there are fewer and fewer licenced premises in our area every month and only one 5 star hotel !

God knows why Badger brought VAT into the equation as:
(a) he's not registered
(b) for those who are registered and quoting for corporate work, it is custom in practice to quote ex VAT, as the customer will also be registered, therefore other than possibly from a cash flow perspective, the VAT is academic

Most of the guy's that I know get between £800 and £1,600 on a set up for 7.00, background during the meal then disco to 1.00.
A lot depends on the venue and access. A lot of the hotels the function rooms are on the 3rd floor, 9 floor etc etc and can take 3 hours or so to get the kit in using the service lift, which is also used by the staff - so get a load in, then wait 15 / 20 minutes get another load in etc, etc.

I had a few DJs out via agents last December and in top London Hotels and there was no-where near that amount of money being splashed aound.

Accross all the forums, including this one, over time there have been comments about "cowboys" under pricing, are we not doing the same thing now??? And we are not cowboys (I hope), just not having the full facts on an area to correctly price. A central London gig (the Dorchester, The Park Lane Hilton etc) mean arriving at 2.00pm and not leaving till 3.00am, and travelling on top - How much is your time worth???
Lets look at an example. Most Central London gigs are done through an Events company, as they will supply the whole package. So events company rings an agent for a disco to perform 8.00 to 12.00. The agent says, No problem, but it will cost (say) £600 (whooppppyyy), the disco normal charges £250, but says £350 because of the travelling. The events company has already budgeted £2,000 (part of a £50,000 job) - technically, everybodies happy. So Client is charged £2,000 for the disco and the disco gets £350.00 - This is the real world, unless you turn up with light screens - LOL.
On this basis, as mobiles, we are "cowboys" but we are not, it's just a case of understanding the market place. But London is now finding it easier to get a DJ to travel a 100 / 200 miles at a third of the price than it is to book an "in town" professional.
Now this works down the ladder to other towns on a pro rata basis. The question is, are you getting what you are worth???
Lets take another example, you charge £200.00, and agent charges £350.00, you get a call from a venue, and you think you can "get away" with £250.00, great you are earning £50 more, but in real terms, you have "de-valued" the job by £100.00.
I think you get the idea. It's down to understanding the system and the market. And the "average DJ" at the moment is giving the client a bargain, Um, does that make them a cowboy, I think not, it's just lack of knowledge.

I think what you say is right to a degree Mikee. Its a lack of knowledge , coupled with an inability to sell the real worth of what you do, due to fear of objection and rejection. There is a reticence to move out of the comfort zone, in other words, you would rather make an easy sale at £250 than have to battle for your real worth.

Well mike I don't mind the hasstle of travel and having to set-up / be there morning or afternoon - if you don't want to do the £600+ big london gigs i'd be happy to do them for you :) and give you £100 booking fee for your troubles... :)

An interesting read, good luck to James with his quote, based on the limited detail available I have a figure in mind around the £35K mark (as in what I would quote.)

Just to support a little bit of what Mike was saying, through my normal line of work we organised an "Awards Evening" at a 4 star hotel (The Celtic Manor in Newport, Wales) which was on a Wednesday night in February.
The event company took care of everything from organising menus, the sound & light system for presentations (and then the evening entertainment), a band, a DJ, "paparrazi" style photographers, singing waiters etc. etc. etc.
Total number of attendees at the event was 425. Total cost to us for one barmy night in Wales?
£178,000.
Just in case you missed it i'll say it again...
£178,000.
From a business point of view we got 80% of that outlay back through event sponsorship, but if you think companies are not spending that sort of money and you can't quote higher and win the business then I would disagree with you.
If you ever get "in" with a decent event company then I would work harder than ever to ensure they used me again and again, especially when many of their events don't conflict with my regular weekend work!

Just to update this thread i had a call confirming the quote today and cheque should be with me by monday. They were happy with the quote and although a bit of money was knocked off it was due to them not needing a couple of the items rather than being too expensive.

Just to support a little bit of what Mike was saying, through my normal line of work we organised an "Awards Evening" at a 4 star hotel (The Celtic Manor in Newport, Wales) which was on a Wednesday night in February.
The event company took care of everything from organising menus, the sound & light system for presentations (and then the evening entertainment), a band, a DJ, "paparrazi" style photographers, singing waiters etc. etc. etc.
Total number of attendees at the event was 425. Total cost to us for one barmy night in Wales?
£178,000.
Just in case you missed it i'll say it again...
£178,000.
From a business point of view we got 80% of that outlay back through event sponsorship, but if you think companies are not spending that sort of money and you can't quote higher and win the business then I would disagree with you.
If you ever get "in" with a decent event company then I would work harder than ever to ensure they used me again and again, especially when many of their events don't conflict with my regular weekend work!

Thanks mate, The bitchin actually helped in a way and was good to try and work things through with the costings and what people would charge on here so it's great... heres to forum power... :beer:
And if you mean was the price structure mine or others from this post - well a little of both really..... From some of the advice on here and other forums i was able to adapt the quote a little... Probably could have gotten away with charging more really but the bits that were taken out of the quote actually make my life easier which is great so was happy to knock it down a little. As for good profit - not really - and the quote was still pretty low for london area but i'm happy with it and it should see me though the quieter months where i'll be refreshed and ready for what ever life throws up next....

Having said that we've all been there at some point (i think :embarasse )
last year i worked for an events company and as they passed a block booking my way for me to just dj so i worked it for £150 per gig (as it was pretty quiet at the time) over 12 or so gigs.... even ended up using allot of my lighting to use as they were short but all for the same price as good will and all that..... turns out they were making pretty much £375 per gig to sit in the office and let me work it for £150 per gig.... and at the end they only threw in a few spare lamps for the lighting used... nothing more nothing less...

No, quite the opposite, event companies pay more. But at the end of the day, like any other business, they will only pay what you ask for.
The people "squeezing" the business are DJ's themselves.

i would do it for £3000 because its just an average price iv worked out on what i charge, but being London id say £5000. hope this helps Dj matt

I think it's wrong to say that either are the problem...... just as with any other business, there are good and bad in both and tarring everyone with the same brush doesn't help matters.
