Dilemma

I have a wedding (which one of my other employee`s is doing) on 28th of this month, The timings are 8 till midnight in Tunbridge wells which is 30 mins away from the Dj. The clients emailed me about 4 weeks ago and asked if the dj could set up earlier so they could have mic`s for the speeches and background music, I replied that yes this is fine but would be an extra charge, Needless to say they didnt want it. Today I received an email that says

Hi Graham,

Hope that this finds you well. Penshurst have requested that the DJ equipment be set-up before 5pm on the day of the wedding in the Barons Hall so it is all sorted during set-up for the meal, is that ok?

My dilemma here is

1: Do I email back and add an extra charge on, Because I think they are trying it on.

2: Does my Dj set up and walk away leaving the gear locked up (if he dont mind setting up early)

3: Do I flatly refuse.

I have tried ringing the venue to see if it is them asking for an early set up but the events manager isnt there.

I would check with the venue first, even if you have to wait a day or 2, could sway the decision.

I feel that they are maybe trying it on, thinking if the gear is setup the mics will be there for speeches.

You could say i will make sure its all set up but for the Micophone to work etc the customer would have to pay extra for someone to be on site as no one is allowed to touch the equipment except by the dj.

Managed to just speak with the venue and the managers words were "we tell all bride and grooms that the disco needs to be set up before the wedding breakfast when they book the venue", This has been booked for over a year now and the client knew this back then, To me the client should have quoted for 8 hours not 4.

Thanks for your email, I have contacted Penshurst as the timings they ask for would mean a Dj would need to be on site from 4pm which would take us well over the 4 hour quote given out in the beginning, It has been sorted now and the Dj will be there and get in and set up while the room is being turned around and ready for your first dance at 8pm (or when you are ready).
