How long until you chase up contracts?

Hi Guys,
I've now had about 6 confirmed "please can we book you" e-mails.

Sent out the contracts so far none back!

The majority went out 1st week of the month, didn't want to start e-mailing them in case it looked too pushy.

Any thoughts?

Does it not say on your contract when they should be back?

Mine are supposed to be back within 2 weeks, but I nomally start ringing people after about a month (only if the bookings are taken quite a way in advance)

If they are last minute bookings then I'm chasing the day after the 14 days is up.

I give my punters 10 days grace on a verbal booking.

I then give it 2 weeks, then give them a quick 'phone to "double-check you got the documents OK because you know how unreliable the Royal Mail can be"... take it from there.

I started taking booking fees by PayPal as an option to secure the booking there and then (plus 3%) and I'm surprised how many people take this up (about 3 in 5). If the punter opts to do this, I send an email with the T's + C's in it, and the URL to click to go and make the payment at the bottom with the line 'payment of booking fee is confirmation of your acceptance of the T's + C's herein'. So far no problems. Once I have payment I can reconcile the confirmation printout with a copy of the email I sent, and that's the booking confirmed as far as I'm concerned. They can take as much time as they like sending back the playlists etc.!

On my booking letter it says "Please return the deposit within 14 days to confirm this booking, if i don't recieve the deposit in this time i presume you do not wish to confirm the booking." I then send a letter to ones who haven't sent it back, basicly saying I wont be turning up as i haven't recieve a deposit.

I've put all of my paperwork on our website as a download. I still offer the choice - would you like me to send it out to you or..... and a lot of folks pick the download and send option.

As for chasing, generally give a 14 day window, but the rule is first come first served, so all my clients get warned that the booking is only secure once booking fee and paperwork is back to me!

I have 14days as well.. the longest i've waited was 6 weeks once, but didn't get any other enquiries in the meantime and when i rang them they were having problems getting the venue on the date so they had a genuine reason. Incidentally, the original venue i was booked for originally burnt down on xmas eve, so its now been moved to another :eek:

If i were to get enquiries for a date i was booked on but hadn't had the form back then i'd just ring them to make sure they still want to go ahead.

Case of I post booking/contract pack off as soon as possible after the phone-call - usually same evening - and chase up after a few weeks if nothing heard or send a friendly 'have you overlooked' or 'found someone else?' email.
