hey guys
this has happened to me a couple of times had a booking forms filled in signed booking fee paid etc... then 2 weeks or so before get a call "just to let you know we've changed the venue its now xyz"
now luckily both times its been a venue with similar access/set up and within a few miles of the old venue
what i was wondering is what would you do if this happens and the new venue is 20 miles further away and up 3 flights of stairs.....
I know some of you charge a flat rate distance/access irrellavent but of those of you who dont when you have agreed a fee/booking and this happens which is unlikely but may happen how would/have you handled it?
would you say well its up on the 8th floor/further away so it will cost more or just bite the bullet as it doesnt happen often and keep to the original price. and could you infact change it anyway as youve already agreed to a fee?
just wondered.
ive also noticed one particular venue that i get email enquiries for that is up 3 flights of stairs or a fire escape held together with cellotape everyone is not answering the are stairs present and they just put pub function room in the venue .... luckily cottoned on to this now and email back asking the questions.

Well, if your agreement with them states that the charge quoted relates to access to venue and so on then you would be within your rights to charge additional with a change of venue, but is the aggro worth a few bob?
Obviously if they change to a venue that's 50 miles away then they'd have to expect to pay extra.
Upshot, find some way you're comfortable with having it in your contract, whether that means naming the venue in the contract or just stating "a change of venue may incur additional charges depending on travel required and accessibility".

My contract has a box at the bottom with the price in it. Alongside it says
'subject to no material changes to the details provided'

Dave, You might want to include an extra question on your basic enquiry form---I already do that ---Upstairs or Outdoors?
I have recently quoted high on a central London job to get rid of it---nasty sounding lift arrangement:eek:
Incidentally your contract will state the venue--so if it gets changed you must be entitled to issue a new Contract and charge extra if its more travelling etc.

If the venue access changes and it becomes a two man or more job because of access, then you'll have to charge accordingly. I'm sure the customer will understand.
I've got 3 flights of stairs to negotiate Saturday. I've got a feeling I'll be using a small show.....

I think the answer to this one is partly down to common sense, and partly down to how you operate - ie whether you have fixed prices or quote differently for each job depending on distance, upstairs or downstairs, ease of access etc.
I've been in this situation a couple of times, and in both cases the new venues weren't far from the old ones, and had similar access, so it didn't make any difference anyway.
I have fixed prices for discos (subject to them being up to 5 hours duration with an evening set up in Surrey), so I don't see how anyone in my situation could charge more if the venue changed - as long as the new venue still fell within the criteria on which your fixed prices are based.
However, for those of you who give different quotes for each job depending on distance, upstairs or downstairs, ease of access etc, then I think it is more than reasonable for you to charge extra if the new venue is further away, upstairs, or has more awkward access. After all, if the client was given a quote based partly on the venue, and the venue is changed to one with more awkward access, then I see no reason why they should object to paying a higher price which takes account of the extra time & work involved.

Once had to do an 11th floor gig in portsmouth, Tiny lift you can get one speaker in at a time. My fault for not asking what floor. Word of warning dont play brunel house in pompey.
