    Default Making things easier

Ok, this is not in reference to actually DJing on the night, but rather the 'running of the business'.

I am currently spending far too long on the admin/business side of things and looking at ways to make things easier. I am in the process of arranging to meet a G-Suite advisor who I know can help greatly and have automated quite a few things, but putting it out there to find out what little tips and tricks others have to make the office work less of a chore and a lot quicker.

I have always had automated systems in place that were custom built, but I have found word press great for the apps. My current booking form looks great and makes life a lot easier as its 100% paperless as its sends them/me a PDF contract. Clients pay bank transfer also saving time. All enquiries are thorough email, limiting time waster phone conversations. I tend to manually check and get back to people with the forms & booking stage, but other than that its quite an effortless process.

I have a bookkeeper and my accounting efforts are printing off all my statements once a year - 1 hour max!! As long as the figures point in the right direction then I am happy.

Thats about it really, other than the client meeting that take up a lot of time, but I thoroughly enjoy and pays dividends.

What are you doing thats taking so much time?

I operate everything through DJEP and Office 365.

To echo Toby - what is it that's taking up the most time?

In all honesty I am not sure what exactly is using up the time.

I have virtually no client meetings now, although quite a lot of venue meetings. Accounts don't take me long, processing a booking a little slow but not bad.

Think the main time consumer is likely marketing if honest.

Marketing does take time, as I'm finding out myself.

However - it's not admin. It should be seen as a high priority task which actually brings in money and bookings.
I tend to spend time writing all of my marketing copy way ahead of time (as and when for instance I have the time for a blog post etc), and schedule it to appear on the site at a later date.

it takes time, but I'm getting a lot quicker and better at it....and it's bringing in more business so can't complain too much from this end.

What do you use for bookings? I use DJEP and my process of getting an enquiry to booking is seconds.

The enquiry gets added in automatically from my website - I add in a few additional details and the price.

When they want to book I click one button.

When they paid the deposit and signed the contract, I push another button.

    And that's it!

It's been a massive time saver.

I looked into DJEP as I presently use Pages and Numbers.

It seemed an huge amount of work to set up and wouldn't import my existing templates from Pages.

Absolutely - I can't deny that it took a long time to not only set up, but also learn.

It's an incredibly complex product to enable it to cater for all eventualities.

But my time investment up-front has definitely paid off in the huge amount of time that I have saved.

My life is so much easier - and it all integrates in to my Office 365 calendar, so I can never "double book" myself by mistake!
